The Four Steps
Step 1
First Contact — Video Call or In-Person Meeting
The process begins with a direct conversation — a video call or in-person meeting at one of our offices in Paris (17th arrondissement) or Perpignan (Tecnosud 2).
This is not a sales call. It is a working session. We use this first meeting to understand your company structure, your current compliance setup, the tools you use, your group reporting requirements, and any immediate deadlines or open issues that need to be addressed at handover.
You leave the meeting with a clear sense of what EUROCAD will cover, how we work, and what the next step looks like.

Step 2
Needs Analysis — Proposal Within 48 Hours
Within 48 hours of the first meeting, we deliver a written proposal covering:
- Scope: a precise definition of services to be provided, with no ambiguity about what is included and what falls outside the engagement
- Flow mapping: a structured overview of information and document exchanges between your team and ours — who sends what, in what format, by when
- Deadlines: guaranteed implementation timelines, including the date from which EUROCAD takes operational responsibility for each service
- Pricing: clearly defined fees, with no hidden costs or open-ended hourly billing for standard services
This proposal is the basis for the engagement letter. Nothing is left vague.

Step 3
Engagement Letter — Formalising the Partnership
The engagement letter (lettre de mission) is the formal, legally compliant document that defines our professional relationship. It is drafted in accordance with the standards of the Ordre des Experts-Comptables and, where applicable, the professional standards applicable to French statutory audit engagements, under the supervision of the Haute Autorité de l’Audit (H2A).
For international clients, we provide the engagement letter in English alongside the French version. The document covers scope, fees, liability, data handling, and the obligations of both parties — with no boilerplate that obscures what has actually been agreed.
Signing the engagement letter triggers the internal handover process at EUROCAD: your file is created, your dedicated advisor is assigned, and the compliance calendar is set up.

Step 4
Kick-Off — Your Dedicated Advisor Takes Over
Once the engagement letter is signed, your dedicated advisor coordinates the operational launch. This covers:
- Historical data retrieval: requesting the necessary files, FEC exports, and documentation from the outgoing provider or your internal team
- System integration: connecting your accounting or ERP system to our workflow — whether that is Pennylane, Xero, Oracle NetSuite, SAP, or another platform
- Payroll setup: configuring your payroll in SILAE, with all employees, collective agreements, and pay structures correctly parameterized before the first pay run
- Deadline audit: a review of all upcoming compliance deadlines (tax, payroll, legal) to ensure nothing is missed during the transition period
From this point, your advisor owns the file. You have one point of contact for every question, every filing, and every report.

Continuity
Managing the Transition — What You Can Expect
The most common concern when switching providers is continuity: will deadlines be missed? Will historical data be lost? Will the transition period create a compliance gap?
EUROCAD manages this directly. Our onboarding team is experienced in taking over files mid-year, mid-quarter, and — when necessary — mid-audit. We have established protocols for requesting documentation from outgoing providers in compliance with OEC professional standards, which require the outgoing firm to cooperate with the handover.
For companies where the statutory audit mandate is also transferring, the process follows the H2A-regulated procedure for CAC resignation and appointment, including the required communication with the outgoing auditor and the filing of the new mandate with the Tribunal de Commerce.

EUROCAD carries professional liability insurance (assurance responsabilité civile professionnelle) covering all services from the first day of the engagement. Our work is subject to continuous internal quality review, with formal internal controls applied to tax filings, payroll runs, and audit work papers before any document leaves the firm.
